2014-2015 REUNION PLANNING
BATCH CELEBRANTS
MEETING - MARCH 29, 2014

On March 29, Celebrant Batches Reps of '70, '80, '85 met with VHSAFI President, Marci Bautista and incoming Board Treasurer Grace Garcia at the Mandarin Hotel hosted by the leaders of Batch '80. Absent were Reps from Batches 65. 75. & 90.

A probable realistic budget for the Alumni Homecoming of 2015 to be proposed to the other Celebrants and to the VHSAFI Board was set to 1M pesos.

Batch Celebrants would remain 6 as follows:1965, 1970, 1975, 1980, 1985 and 1990.
Target date of Reunion: February 7, 2015.
Based on initial survey of would be attendees from different Batches, target per person is pegged at 1,000, venue to be scouted still.

Proposed fund raising activities to help raise initial monetary needs in preparation of the reunion:

1. GOLF TOURNAMENT
     Lead Organizer- Batch 80 in the person of Eng. RICKY ANASTACIO.
Target Date & Venue: October 2014 at Valley Golf Cainta Rizal
Target proceeds: P1,080.000.00

2. BOWLING TOURNAMENT
     Lead Organizer - Batch 70 in the persons of Mr. DANILO LORICA and Ms NENITA DEE.
Target Date: Seotember 2014 and January 2015
Target Proceeds: Min. Of 30k/ tournament

3. FUN RUN
     Lead Organizer - Batch 85 in the person of Mr.  PETER HANSEL TORRES
Target Date: August 2014
Target Proceeds: Min. of 30k

Procedures and Mechanics for the above fund raising events will be posted upon approval by the other Celebrants and the VHSAFI Board.

VHSAFI BOARD MEETING - APRIL 5, 2014

The meeting between the 2013-14 and 2014-15 VHSAFI Board Members took place at the VHSAFI Alumni Room in Villamor High School grounds on April 4, 2014 @ 9am.
Some 21 members attended the pre- turn over meeting.

After the invocation, ascertation of attendance and quorum, the former and incoming VHSAFI President, Marc Bautista, propelled the meeting with a big thank you for those who served the Foundation last year and with exhortations of unity, sincere and honest dedication of service to the VHSAFI for the new ones.

Past positive achievements were highlighted with suggestions on how to improve further to consolidate successes and most importantly, mistakes and omissions of the past were enumerated and humbly the Board accepted the lessons to be used and capitalized in order not to trod the same path for this year and create opportunities for a better concerted team work for 2014-2015.

  • A resolve by the new Board Members to carry on their duties and responsibilities with more dedication and self sacrifice was subscribed by everyone present. To tangibly attest to this resolution, it was proposed to add to the OATH of office a distinct delineation the undersigned  elected and appointed officer understands the duties and responsibilities he is getting into and swears to do everything, to the best of his abilities, to comply, perform and deliver whatever he accepts as his loads, despite the voluntary nature of the service.

A formal turnover and one day Strategic Planning by the New Board with Ex-officio Members was set for May 17, given the nearest free time when the majority of the members are free.  Meanwhile, the Celebrating Batches with the VHSAFI President and Treasurer will continue to hold special meetings to fast track fund raising plans and preparations for 2015 Annual Meet.

Reports from the different Officers followed:

EDUCOM
The former Chair, Ms Amy Nerecina was unanimously voted to the same position. She will remain as Chair of the EDUCOM COMMITTEE for 2014-2015.
The President praised her dedication and leadership in bringing success to the sector, raising student grantees from 60 to 93 by inviting more sponsors and donors to support this VHSAFI flagship project.

WAYS AND MEANS & SPECIAL PROJECTS
It was again underlined during the time of this sector to renew MOU with the VHS Principal to feed VHSAFI with information regarding Batch Projects and School Donations, not coursed through VHSAFI.

  • It is the Board's desire to disseminate information about the donation to all Alumni to spread goodwill and amplify the joy that many Batches are giving back to the Alma Mater 8n many different ways.

Also, VHSAFI, through the SPECIAL PROJECTS COMMITTEE may help monitor the safe keeping and maintenance of the donations.

Lately, a new sound system and a CCTV System was installed in the School by some VHS Batch Org. It is our wish, being the umbrella Organization of all VHS Alumni Batch Orgs to be informed to multiply the cheers and assist 8n proper handling of said donations thru the members of Special Projects Com.

2015 ALUMNI HOMECOMING (see my report above).
Ms Becky Wilder of Class'65 expressed her willingness to sponsor the Band to perform for the reunion of 2015 as well as sponsor her Batch's Registration Fee for the Bowling Tournament.

TREASURER's REPORT
Finally after much anticipation, the Treasurer's Report.  However, the printed information of the VHSAFI Financial Statement has yet to be completed with complete bank statements due only on April 15 and should be subject to internal and subsequently, external audit. Given the sensitivity of the matter, the Old and the New Board concurred to out the official FS report after the Start Planning of May 17, 2014.

The VHSAFI Board Meeting adjourned at 1 pm.

12 VHSAFI Board members gathered for one of the last 2 remaining meetings programmed by the outgoing administration of VHSAFI.

At 9:15am, an invocation united the attendees in prayer after which the President, Marc Bautista declared the meeting open.

New resolutions geared towards the effectiveness of the performance of the Board and individual members were approved and ratified which are the ff:

A. RESOLUTIONS PASSED BY THE BOARD:

1.  Attendance:  
 ? Officers sworn in to their respective duties who incur consecutive non-excused absences from regular meetings shall be given the ff. caveat:
   ?2 absences an oral recall to comply his/her obligations  
   ?3 absences, a written memo
   ?termination
The above measure was underlined and made present to ensure that elected officers are on top of their personal effectiveness.

2. Direct Donations via Principal/school by an individual or Class:
? Renewal of MOU with the School Principal regarding alumni donations or projects to VHS.  The school is requested to inform VHSAFI in regard to any kind of donations (donate cash or items to) the School, whether by an individual alumnus or by a Batch. VHSAFI maintains a record of donations for proper monitoring and maintenance which is an excellent service to the donor/s.

This measure is also to ensure thar donation/s are put into good use and are properly maintained.

3.  VHSAFI Officers Report:
?  Each officer will be required to submit a semestral report that summarizes how their assigned tasks were performed. This will allow the VHSAFI Officers and Trustees to have focus and freely conduct their duties throughout the year, and to update other officers of the progress of their tasks.
?    In addition it was also agreed that Chairmanship of a working committee must not be relagated alone to thebelected members but also to extend to Batch official reps,  provided they have expertise in fields assigned and subject tonthe Board's nod. It is given, however, that said Batch Reps do not have voting rights as the Officers andnTrustees of VHSAFI.

All the above resolutions were approved and ratified.

B. BINGO Fundraising Activity Update:
The Treasurer, supposed to handle the report, again was not present for matters beyond her control.
Grace Garcia being the appointed assistant took the cudgels. And thus declared the ff:
   ?Bingo tickets sales aren't moving vastly as expected. To date 498 tickets were outed and less than half are paid. But everyone was given  up to March 14 to sell all tickets in their possession and return them on March 14. Unreturned Bingo tickets on the 14th will be considered sold and the reps holding on to the remnants will be held responsible for payment.
  ?The agreement entered into by VHSAFI and Bingo Bonanza expressed in their signed MOU states that VHSAFI is free from any liens on tickets printing, venue, and advertisements. Its sole responsibility is to sell Bingo tickets worth 200 each good for 10 Bingo games scheduled for March 15 in any Bingo Bonanza venues found in any SM Mall in Manila. If VHSAFI succeeds to sell 1.000 or more tickets, the Board gets 50% of the proceeds. 750 to 999 = 30%; 500 to 749=20% ; 300 to 499 = 10%. Sales below 300 tickets the Board gets nothing.

The good news is that at least our sales graduate us to 10% sharing. We hope we can sell more. Many alumni pledged that should any of them win, they will donate their bounty to VHSAFI to cover the 80k deficit incurred during the recent Annual Reunion.

It was exhorted that the Treasurer submits immediately a printed report and the VHSAFI auditor admonished that a glimpse on the final FS report is a must, the turnover being imminent.

2014 Souvenir Program Update:
In as much as some important and, dare we say, essential messages for the 2014 Grand Alumni Souvenir Program came in late and did not make the deadline, the printing and coming out of the said magazine also were delayed.
To date, we can still accept additional advertisement for the magazine for up to March 15 as this is the earliest our chosen printer can accomodate us. We expect the magazine to come out 1 week after.
And by the way:
We still have 5 pages available for your advertisements at this costs:
   ? 1 full colored page @ P5,000.00
   ? 1/2 colored page @ P2, 500.00

C. EDUCOM
Educom Report was done by Amy dela Cruz on behalf of Amy Nerecina, the latter being out of town.

?    The number of Scholars nears the 100 mark and 10 new sponsors adhered to Educom's cause this year.
?    Many projects are lined up like Student seminar, parenting seminar, celebration of the 'scholars' birthdays and tutorials.

D. Other Matters:
?    Austerity measures such as the use of electricity during meetings, 'passing the hat' for merienda expenses, etc.

To start with, the current VHSAFI Auditor agreed to treat everyone for lunch as her birthday treat. She turns ???? On March 11.

At this point, after thanking the Summum Bonum for the fruitful meeting and setting the next Board Special Meeting on March14, the President adjourned the session at 12 noon and the group "hurriedly" proceeded to a designated restaurant in Plaza Calderon for a hearty "free" lunch together, courtesy of the birthday celebrant.
